Check-in is a mandatory procedure per the U.S. Department of State. Validation of the SEVIS record will occur only after check-in is completed. All J-1 scholars and student interns who are on the main UF campus are required to conduct an in-person check-in with the Exchange Visitor Services (EVS) office within the UF International Center, located at 1765 Stadium Road, Suit 190 Hub, as soon as possible upon their arrival. If the exchange visitor is not located on the main campus of UF, the department should arrange the check-in locally, and scan and send the required check-in documents by email to EVS@ufic.ufl.edu.

There are two opportunities to check in on the main campus each day, Monday through Friday: at 10am and at 3pm. The visitor should arrive with all the required documents at one of those two times in order to join the check-in. Visitors arriving later than 15 minutes after the designated time will not be permitted to join the check-in and must wait until the next check-in time. The entire check-in process typically takes about 30 minutes to complete. It is highly recommended that the visitor first check-in with their UF host department prior to coming to the EVS office.

The check-in will include an orientation, however the Pre-Arrival Guide should be viewed before the exchange visitor arrives in the United States.

Main Campus Check-In Requirements

  • J Visa* for J-1 and all accompanying J-2 dependents
  • Passport* for J-1 and all accompanying J-2 dependents
  • Stamped DS-2019* for J-1 and all accompanying J-2 dependents

(*these documents must be original, copies of these items for check-in are not accepted)

  • EV Registration Form, J-1 only
  • Proof of insurance coverage for J-1 and all dependents that meets federal requirements as outlined on the Health Insurance information page.
  • Final signed DS-7002 (Internship Placement Plan), J-1 Student Intern only
  • J-2 Responsibility Form (J-1 completes for any J-2 dependents)

J-2 dependents are not required to be physically present at check-in.

If you entered the US through a land border, or were issued an I-515A, please also bring the original I-94 card.

EVS Long Distance Check-In Procedures

Exchange visitors who are not on the main UF campus (off-site locations) are permitted to conduct the EVS long-distance check-in process. The exchange visitor should first work with their UF departmental administrative contact to complete the check-in procedures. The departmental contact should then email EVS with scans of the following items:

  • J Visa along with the corresponding Port of Entry stamp, usually but not always located above the visa foil, for J-1 and all accompanying J-2 dependents
  • Passport for J-1 and all accompanying J-2 dependents
  • EV Registration FormJ-1 only
  • Proof of insurance coverage for J-1 and all dependents that meets federal requirements as outlined on the Health Insurance information page.
  • I-94 for J-1 and all accompanying J-2 dependents (retrieval instructions)
  • J-2 Responsibility Form (J-1 completes for any J-2 dependents)
  • Final signed DS-7002 (Internship Placement Plan), J-1 student intern only

Please note the Department of State prohibits the sending and receiving of electronic copies of the DS-2019, so we ask that you do not send us a scan of the DS-2019 for long-distance check-ins. Instead, the I-94 record suffices.
