Developing a study abroad program involves many stakeholders and so will take thoughtful and meaningful collaboration among all parties to get a new or revamped program up and running. We welcome early, informal consultation by faculty members for program planning and encourages collaboration across academic departments. We highly recommends faculty begin the program development process, as outlined here, at least 12-15 months prior to your intended start date.

In order to assist you in the program development process, we have created a detailed Guide for Study Abroad Program Development which outlines everything you will need to know about international education, proper experiential learning pedagogies, program design logistics, risk management and other pertinent information relating to recruiting and advising students for your program. Please read through this guide prior to setting up a Needs Assessment appointment with the Program Coordinators.

 

Developing a New Program

To begin planning a new study abroad program, please review the steps below. These must be completed in order and in collaboration with the appropriate UFIC team member.

Step 1: Initial Consultation & Needs Assessment

Schedule a meeting with one of our Program Coordinators -Arley Morrell (amorrell@ufic.ufl.edu) or Laura Dickey (ldickey@ufic.ufl.edu)- to discuss your program ideas, UFIC policies, and proposal guidelines. This is your opportunity to explore feasibility, timelines, and support options.

Step 2: Submit Your Program Proposal

Complete and submit the UF Study Abroad Program Proposal to the Program Coordinators. This form outlines your academic goals, itinerary, provider options, and logistics. Once reviewed by UFIC, it will be routed to your Department Chair and College Dean for final approval.

Step 3: Identify Program Providers

After your proposal is approved, we will assist in matching you with three vetted Service Providers to request bids (quotes) from. If you have a provider in mind not vetted by UFIC, the Program Coordinator will guide you through the vetting process. Please note that vetting may take additional time, so we recommend completing this step well ahead of the general deadline.

Step 4: Selecting Provider and Contracting

Once the faculty member and UFIC work together to select the best bid/quote (itinerary and logistics for the program), the Program Coordinator will review it for compliance with UF and UFIC policies, and then formalize a contract with the Service Provider. Please be aware that UFIC has the final say over which Service Provider we use for each program.

Renewing UF Programs

A Renewal Program is a program that has run before and will run again in a future term. Existing programs that change location, courses, or core content are considered to be new programs and require following the full development process outlined for New Programs. If your program changes term or faculty leader you must request UFIC's approval in advance.

Renewal Programs should notify UFIC program coordinators of their intent to renew via email and submit only the provider bid/quote before the term deadline. Use this UFIC Scope of Work (SOW) Requirements Checklist to ensure your itinerary meets academic and logistical standards.
